Privacy Policy

This document represents information provided, in accordance with articles 13-14 of the GDPR - EU Regulation 2016/679 (General Data Protection Regulation) for the protection of individuals regarding the processing of personal data. The document is addressed to users (also "Users" or "User" hereinafter) of the website www.docbox24.com (hereinafter "Docbox24") or related web or mobile applications. This processing will be based on the principles of fairness, lawfulness, transparency, integrity, and protection of the privacy and rights of the User (art. 5). The data controller is the company ICT Sistemi S.r.l., with registered office at Via Lungomare Colombo 189, 84120 Salerno, Italy (hereinafter "ICT Sistemi"), owner of Docbox24. The information is provided exclusively for the content and services of Docbox24 provided directly by ICT Sistemi S.r.l., which assumes no responsibility for third-party websites that may be consulted through hyperlinks on Docbox24. Users, by registering for the application, accept this information and are therefore invited to read it before providing any personal information. The use of this platform is only allowed for individuals over 18 years of age.


1. Types of personal data processed by the application

a. Data voluntarily provided by the user and data acquired during the use of services.

Without prejudice to the above regarding navigation data, ICT Sistemi S.r.l. will acquire personal data provided by the User through the Website to access certain services. The User, in using the application, has the possibility to enter, on his own initiative, through the completion of specific forms, other personal data (e.g. photo, date of birth) not mandatory for the provision of services. For the use of the messaging service within Docbox24, the User may also provide the name, surname, and email of third parties to whom the purposes of the request will be notified by email. The above-mentioned personal data will be processed by ICT Sistemi exclusively for the purposes and within the limits indicated in the following paragraph.


b. Special categories of data under art. 9 GDPR

Due to the specific nature of the Application, ICT Sistemi will also acquire sensitive data or data belonging to special categories as per art. 9 of Regulation (EU) 2016/679 (e.g., health data) that the User may voluntarily enter in specific forms of Docbox24 when requesting specific services.


2. Purpose and legal basis of processing

The data will be processed by ICT SISTEMI to allow registration and use of services specifically connected to the Application and to comply with User requests. Users/visitors are free to provide their personal data. Their failure to provide them may only impact the use of the complete functionalities of the Application. The data will be processed by the Data Controller, only with his explicit consent during registration on the Website, for a) the use of services specifically connected to it b) research purposes and for the dissemination of the same through publication in scientific journals and during internal and external scientific events, anonymously.


3. Processing methods


Data processing is carried out using computer and/or telematic tools for the time strictly necessary to achieve the purposes for which they were collected. As specified in art. 32, all data provided by the user are appropriately encrypted; furthermore, ICT Sistemi adopts specific security measures to prevent data loss, unlawful or incorrect use, and unauthorized access.


4. Categories of subjects to whom personal data may be communicated and purpose of communication

The Data Controller may communicate, for the same purposes, some of your personal data to third-party subjects, who will process your personal data as Data Processors. The list of data processors can be requested from the Data Controller by writing to assistenza@ictsistemi.it or info@docbox24.com. In addition to the Data Controller, in some cases, external subjects such as hosting providers or third-party technical service providers may have access to the data.


5. Data retention

The data entered by the User will be kept for a period not exceeding the achievement of the purposes for which they are processed. In the event of the establishment of a contractual relationship, the personal data of the User will be kept for the entire duration of the contractual relationship with the Data Controller. Following the termination of the relationship, for any reason, the data may be kept for a longer period, exclusively for the purpose of protecting the rights of the Data Controller and for compliance with legal obligations.


6. Rights of data subjects

In accordance with current regulations, the User can exercise the following rights at any time, as per Regulation EU 2016/679 within the limits and conditions provided for in art. 12 of the Regulation itself: 1) access to their data (art. 15), 2) rectification of inaccurate personal data (art. 16) 3) erasure of data (art. 17) 4) restriction of data processing (art. 18) 5) data portability (art. 20). These requests must be made in writing and addressed to ICT Sistemi S.r.l., Via Lungomare Colombo 189, 84120 Salerno, Italy, or by email to: assistenza@ictsistemi.it. We inform you that, according to current regulations, the User can file any complaints regarding the processing of their personal data with the Guarantor for the protection of personal data.


7. Minors

All services provided by the Site are intended for an adult audience. Under Article 8 of EU Regulation No. 2016/679, if the data subject is a minor, the processing of data as per this information is considered lawful only to the extent that such consent is given or authorized by the holder of parental responsibility.

9. Cookie Policy

Below is the Cookie Policy to be used as extended information pursuant to art. 13 Legislative Decree 196/2003 (hereinafter "Privacy Code") and articles 13 and 14 of Regulation (EU) 2016/679 (hereinafter "GDPR"). Cookies are information entered on the browser when the User visits a website or uses a social network with their PC, smartphone, or tablet. Each cookie can contain different data such as, for example, the name of the server from which it comes, a numerical identifier, etc. Cookies can remain in the system for the duration of a session (i.e., until the browser used for web browsing is closed) or for long periods and can contain a unique identification code. In general, almost all web browsers are set to automatically accept cookies. Typically, cookies can be installed: 1) directly by the owner and/or manager of the website (so-called first-party cookies) 2) by managers external to the website visited by the user (so-called third-party cookies). Docbox24 uses, also in combination with each other, the following types of cookies classified according to the indications of the Privacy Guarantor and Opinions issued in the European context by the Working Group pursuant to art. 29 of the GDPR: 1) Technical Cookies: these are cookies that serve to navigate or provide a service requested by the user. They are not used for additional purposes and are normally installed directly by the owner of the website. If disabled, the browsing experience will generally be less functional or compromised altogether. 2) Statistical or Analytics Cookies: they are used to collect information and generate usage statistics of the website to understand how visitors interact. The Privacy Guarantor has assimilated them to technical cookies, only if used for optimization purposes of the site directly by the owner of the site itself. Docbox24 uses cookies for user authentication.


Third-Party Cookies

DocBox24 uses third-party cookies for user identification in order to log in. The User can directly manage cookies through the settings of the browser used. For further information and support, it is advisable to visit the specific help page of the web browser being used.
